Technical Guide for Event Organizers

This guide provides ESIS Conference Organizers, TC Chairs, and National Group Coordinators with the steps to activate and manage a dedicated preprint section.

1. How to request a dedicated section

To initiate the process, send a formal request to msirp@structuralintegrity.eu including the following details:

  • Event Title: (e.g., ESIAM26 – The 4th European Conference on the Structural Integrity of Additively Manufactured Materials)

  • Organizing Body: (The specific TC, National Group, or Conference Committee with affiliations and email addresses).

  • Important Dates: Start and end dates for preprint submissions.

  • Contact Person: A designated “Section Moderator” who will oversee the uploads (with affiliation and email address).

Once approved, a dedicated section will be created in ESIS-PS (Preprint Server) with a unique landing page and URL.

2. The submission & publication workflow

The process is designed to be seamless for both organizers and authors:

Phase 1: Authors

Authors upload their manuscripts directly to your event section in ESIS-PS.

Phase 2: Immediate DOI

Upon a basic administrative check (not a full peer review), each paper is assigned a DOI. It becomes immediately citable and discoverable on Google Scholar.

Phase 3: Collection

Throughout the event period, all papers are visible as individual preprints.

Phase 4: ESIS-PH Publication

Once the submission period ends, our team gathers all preprints into a single Proceedings Volume. This volume is published via ESIS-PH, assigned an ISBN/ISSN, and archived as a formal collection of the event’s contributions.

3. Managing anti-plagiarism & quality control

As an organizer, you maintain oversight without the heavy burden of a traditional peer-review cycle:

Administrative Screening:

Organizers perform a “sanity check” to ensure submissions are within the scope of structural integrity and meet basic formatting standards.

Plagiarism Transparency:

Because these are marked as Preprints, they do not conflict with future journal submissions.

4. Benefits for your event

Increased Visibility:

Your event’s research is indexed before the conference starts, attracting more attention and potential citations.

Permanent Record:

Even if authors later publish expanded versions in journals, your event’s specific volume in ESIS-PH remains the permanent, citable record of the meeting’s proceedings.

No Costs for Authors:

The system is designed to provide an affordable, open-access alternative to traditional, expensive proceedings series.

5. Closing the event

After the conference, the ESIS-PH volume is finalized. We recommend that organizers encourage authors to return to their preprint page later to add the link to their “Final Journal Version.” This ensures that the event remains a gateway to the highest quality, peer-reviewed research.
